Only IMAGES are allowed to be uploaded for timesheets. (examples: png, jpeg...)
RealStaff will NOT accept a timesheet in a PDF file format.
When entering hours for employees, timesheet images must also be entered into RealStaff. This process is similar to uploading documents into RealStaff.
Take a screenshot of the timesheet image from your Windows computer. To use the Win + Shift + S shortcut:
- Press the shortcut keys together. (Win + Shift + S)
- Select an area.
- Select a snipping mode.
- Copy and save the image. (It should automatically be copied to your clipboard.)
- Here is a Tutorial Link from Microsoft if needed.
Or download a screenshot app. LightShot is available for free. Here is a Tutorial Link for Lightshot if needed.
From the RealStaff main menu, click on
Emp/Hrs/PR >> Hours Pay Entry
- Select the Employee from the Hours Pay Entry window, then click on the Insert button.
Pull up the timesheet you want to attach to the hours. Make sure that the hours you are working with are also on RealStaff.
Take a screenshot of the timesheet by clicking on the PrtSc key on the keyboard and highlight the area to capture, select upload and then press the copy button. (Or follow Steps 1 or 2 above.)
In RealStaff on the Documentation tab, click the Paste button. If that doesn’t work, you can click on the Upload button and locate the screenshot on your computer.
If you have a timesheet that applies to multiple days, click on the Copy Link button. Go to the next hours record and click on the Paste Link button. (This only pastes the location of the last timesheet.)
Click on the Ok button. Repeat this process for all employees.
These images will be included with the invoices when they are cut. For the first several weeks, you may need to send in the timesheets with the hours until we know the process works.
There are several functions that are allowed in the Documentation tab:
- Copy - to copy the image for pasting to another record.
- Paste - paste the current image that is on your Windows local clipboard.
- View - bring up a large view of the timesheet.
- Upload - if the “Paste” doesn’t work then you can use the upload button and choose the directory.
- Delete - delete the currently selected image.
- Copy Link - copy the link to the image without copying the image itself.
- Paste link - paste the link that you just copied. The button will only show if you have first clicked on the copy link.
Complete!
It is possible to run Windows on a Mac. Please reach out to Apple Support for more information.
